Who we are

United Nations Population Fund (UNFPA) is the world's largest international source of funding for population and reproductive health programmes. The Procurement Services Branch (PSB) located in Copenhagen, Denmark, provides low cost, high quality reproductive health commodities worldwide. The Latin America and the Caribbean Regional (LAC) Procurement Team is a key department within PSB, responsible for conducting international procurement for the provision of key reproductive health commodities and other products associated with population census in support of the programmes delivered by the UNFPA field offices in LAC Region.

The LAC Procurement Team at PSB is seeking applications from University students in order to offer an Internship for a period of at least 4 months, maximum 6 months.

Responsibilities

Under the direct supervision of the Team Lead, the Intern will provide procurement support on the development of highly demanding population census projects in the region for 2017, working in collaboration with other PSB teams, Country Offices, Regional Offices, Population and Development Branch in New York and potential suppliers. The main tasks will be as follows:

1) Provide support to LAC Team Lead in the identification and implementation of sourcing strategy, including identification of commonly demanded census products and services and identification of potential suppliers offering required products and services;

2) Provide support in the preparation and manage administrative requirements for long term agreements (LTAs) with suppliers including undertaking market research, preparation of ITB and RFP documents and support in the bid evaluation in full compliance with UNFPA procurement procedures;

3) Liaise with suppliers responding to Q&A during bidding processes and during the signature of LTAs;

4) Provide support in the preparation of submissions to the Contracts Review Committee (CRC);

5) Provide administrative and logistical services to the team when required;

6) Assist in the team’s daily procurement work in the absence of regular procurement staff, or during busy working periods;

7) Assist with special projects that the team or PSB initiates as well as some limited involvement in administrative tasks such as organizing meetings, preparing meeting minutes, etc.;

8) Support the team in the translation of documents from English to Spanish;

9) Any other tasks as requested by the team lead.

Working time:

8 hours per day and 40 hours per week

Competencies:

  • Teamwork: Good interpersonal skills; ability to work in a multi-cultural and multi-ethnic environment with full respect for diversity. Displays cultural, gender, religion, race, nationality and age sensibility and adaptability. Demonstrated ability to develop and maintain effective work relationships with PSB staffs, country office and HQ staffs and suppliers.
  • Planning and Organizing: Demonstrated effective organizational skills and ability to handle work in an efficient and timely manner.
  • Communication: Ability to write in a clear and concise manner and to communicate effectively orally.
  • Ability to establish and maintain harmonious relationships with colleagues.

Skills and Experience

  • Completion of secondary education;
  • Enrollment in a University graduate-level degree program in administration, business management, supply chain, economics, computer science, statistics, demography or other relevant field;
  • Interest in development issues;
  • Fluency in English and Spanish are required. English is the working language at PSB. Communications with country offices and external partners are made in Spanish.
  • Excellent computer knowledge, working knowledge of MS Office and searching engines. Knowledge of statistics software desired.

NOTE

Interns do not receive a salary or any other form of remuneration from UNFPA. UNFPA will pay a stipend of $90 per week/ $360 per month to cover transport and lunch costs. The costs associated with an intern's participation in the programme must be assumed either by the nominating institution, which may provide the required financial assistance to its students, or by the students themselves, who will have to meet living expenses as well as make their own arrangements for accommodation and other requirements. In addition, applicants must have medical insurance for the duration of the internship. Proof of insurance will need to be submitted before the internship begins.

Please note that only students enrolled in University programmes on the internship starting date or graduated within last 12 months are eligible applicants. Non-EU Students and EU students are expected to already have residence permits issued by Danish authorities at the moment of applying. UNFPA shall not process any permits nor pay travel costs to Denmark.
